Archiving Questions and Templates

Administrators now have the ability to archive both review questions and templates.

Administrators now have the ability to archive both review questions and templates. This allows you to manage and clean up outdated or unused items without permanently deleting them.

When a question or template is archived:

  • It is no longer available for selection in future reviews or forms

  • It remains stored in the system for reference and historical integrity

  • Existing reviews or processes that already use the item are not affected

Click on archive icon in the Actions column to archive an item

Click on the shaded archive icon beside the 'Add new template' button to view the Archived List view

Note:
Once an item is archived, it cannot be unarchived. This ensures consistency and prevents accidental reuse of deprecated content.

Data Usage Visibility

Before archiving, administrators can view where a specific question or template is currently being used.

This includes:

  • Draft/Active review cycles

  • Draft/Active review templates

  • Any associated configurations where the item is applied

This visibility helps administrators make informed decisions and avoid disrupting ongoing processes.

A dedicated usage view is accessible directly from the question or template, providing a clear overview of dependencies.

Reuse of Archived Titles

After a question or template is archived, its title becomes available for reuse.

This allows administrators to:

  • Maintain consistent naming conventions

  • Recreate improved versions of previously used questions or templates

  • Avoid naming conflicts when iterating on content

This ensures flexibility while keeping the system organized and up to date.
