Form Subscription & Email Notifications

Administrators can manage email notifications for each form template through the subscription feature. Subscribing ensures that relevant workflow events trigger email alerts to the appropriate users.

1.1 Subscribing to Notifications

To subscribe to notification alerts for a specific form template:

  1. Navigate to System Management > Manage Forms > Templates.

  2. Locate the template you wish to subscribe to.

  3. Click the burger menu (☰) associated with the template.

  4. Select Subscribe.

Once subscribed, the admin will receive all applicable email notifications generated by submissions using that template.

1.2 Email Notifications

When subscription is active, email notifications are triggered as follows:

Event

Recipient

Description

Form Submission

All system admins

Sent when a user submits the form.

Form Rejection

Submitter

Sent when the form is rejected by an approver.

Form Approval

Subject of the form

Sent when the form is approved.

1.3 Unsubscribing from Notifications

In order to stop receiving notification emails for a specific template:

  1. Open Templates under Manage Forms.

  2. Click the burger menu (☰) for that template.

  3. Select Unsubscribe.

After unsubscribing, the admin will no longer receive email alerts related to that form template.
