Messaging:
Auto-Enrollment for Messaging Channels
We’ve introduced Auto-Enrollment Rules to simplify channel management and ensure users are always placed in the right communication spaces. System Administrators and Channel Creators can now enable auto-enrollment during channel creation or editing, using filters such as Department, Team, Position/Job Title, and Location. When enabled, users matching these criteria are automatically added to the channel, and new or updated users will be enrolled in real-time. Channel settings clearly display the applied rules, and admins can view auto-enrolled members separately from manually added ones.
Updated Messaging Design
The Messaging module on the web has been refreshed with an updated user interface designed for improved clarity and ease of use. The new design is more modern, offers a cleaner layouts, consistent styling, and streamlined navigation. Users will notice improved readability in channel views, simplified action menus, and a more intuitive structure for managing conversations. These updates ensure a smoother, more consistent messaging experience across the platform.
Mobile Push Notifications
The mobile app now supports push notifications on both Android and iOS, ensuring users never miss important updates. Notifications are sent for new messages, mentions, and reactions, allowing users to stay engaged and respond quickly even when the app is running in the background.
Rewards
Points from Hours Worked:
A new automation allows reward points to be awarded based on hours worked per pay period. Admins can configure the value-per-hour rate and apply filters to determine eligibility. Once the criteria are met, employees are automatically credited with reward points, making performance-linked incentives easier to manage.
Structured Company Address & Rewards Catalog Integration
We’ve introduced a new way to manage company addresses by replacing the old Google Maps link with structured address fields. This ensures standardized, reusable, and validated location data across the platform. Admins can choose whether to enable address storage with a simple toggle, and when enabled, the system supports search, auto-suggestions, and verification before saving. This structured address can now also be reused in the Rewards Catalog with a new option. When selected, the saved company address auto-fills the shipping form and is locked for company swag items, ensuring accuracy and consistency in shipping details.
Tasks
The platform now includes a totally new Task Management feature tailored for individual and team tasks. Users can create and manage personal tasks for their own tracking, while team tasks allow visibility and delegation within designated departments or groups.
The new Task board resembles a traditional kanban board where you can move tasks from To Do, In Progress and Done. Each action is tracked and can be viewed later. This also supports any comments on each task to ensure members are able to collaborate and be heard when it comes to their tasks.
Stay tuned to many new features being added into this new product in the coming months!
Access management
This month we have added a whole new Access Management module to the Paychex Flex Engage product. We have all been in positions where an employee is offboarding from the organization and suddenly you are scrambling to remember what systems or items the employee had access to that you are looking to cancel/get returned before they leave. This new product aims to solve that exact problem in a consolidated area.
Devices:
The devices section allows Access Admins to be able to create different sections for all of the different types of devices the organization would like to track. For example, Laptops, Cell Phones, Tablets, etc. When making a new type of device, you are able to add any custom properties that may make sense for the device. Good example of this is for a laptop you may want to capture the serial number, the model or any other identifying information. This is then tracked on the device itself so when the device is assigned to an employee you know it is the same device that is returned as went out. This is also helpful to know the history of the device so when it is given out and returned and given out you know the whole history of each device your organization owns.
Systems
The systems section allows Access Admins to be able to add all the different systems that your organization pays for and uses into a consolidated view. You are able to add each system and then add specific user properties within each system. For example if I subscribed to Google Workspace, I could add Permissions property where I could identify if they were an admin of the system or simply just a user.
Within each system you are also able to add the contract information for each system so there is a consolidated place people can go to view your organizations contracts. Even better, it will allow you to enter if that contract auto renews and if that contract is coming up for renewal and when you would need to provide notice to cancel the contract.
Users
In the event you are offboarding an employee. Rather than searching through each system or device, you are able to directly search for the user and retrieve a list of all systems and devices they are assigned so you can quickly and easy remove each system and retrieve all assigned devices.
Career Development
Employees now have a dedicated space to manage and explore their growth journey with the new Career Track module. Users can view their current role, understand role expectations, and explore adjacent roles in their career path. Each role includes a clear breakdown of required competencies, and a side-by-side comparison tool helps employees see how they measure up. To support ongoing development, users can take personal notes, plan future growth with scrap lists, or even schedule a 1-on-1 with their manager directly from the platform using the integrated meeting setup feature. Managers see an extended view with oversight on team progress, enabling proactive career planning.
Managers also have their own dashboard to be able to view the status across their whole team, making it easy to see their employees progress.
Position Org Chart
A new Position Org Chart has been added alongside the existing Company Org Chart, offering a position-to-position view of the organization. This chart focuses on roles rather than individuals, making it a powerful tool for succession planning and career development. Each position block can be expanded to show assigned employees, associated competencies, and linked career tracks and job levels. The Position Org Chart supports the same interactions as the Company Org Chart, including expand/collapse, share, export, and dotted-line relationships, providing a consistent and familiar user experience while introducing a new way to visualize organizational structure and growth opportunities.
Forms
Submission Notifications – Subscribe/Unsubscribe
Admins can now manage form submission notifications with new Subscribe/Unsubscribe options, similar to Surveys. From the Manage Forms > Templates menu, admins can choose to receive email alerts whenever a new submission is made for a specific form template. Notifications include the form name, submission date/time, and a direct link to the results page, ensuring admins are promptly informed and can take immediate action. Subscriptions are tied to individual forms and can be adjusted at any time. However, If approvals are configured, approval emails continue to be sent to the subject as before. This enhancement gives admins greater control and visibility over form activity.
Review v3
Onboarding Reviews
The new Onboarding Reviews feature streamlines how managers and employees capture feedback during the onboarding process. With this release, organizations can schedule structured reviews for new hires at key milestones, ensuring consistent check-ins and alignment. This enhancement provides Admins and managers with actionable insights, helping support new employees more effectively during their first months, streamlining periodic feedback cycles independent of calendar-based timelines.
Edit Contributor Reviewers Mid-Cycle
Admins now have the ability to edit contributor reviewers during an active review cycle, providing the same flexibility already available for manager reviewers. This enhancement ensures that contributor assignments can be updated when team structures or responsibilities change mid-cycle. Updates apply immediately across review executions, while preserving any already completed reviews. Only pending or active contributor reviews are affected, ensuring smooth adjustments without disrupting review history or progress.
Question Preview in Manage Reviews
Admins can now preview individual review questions directly from Manage Reviews > Questions. A new Preview button has been added next to each question in the list view, allowing admins to see exactly how a question will appear to end-users during a review. The preview opens in a read-only format, ensuring accuracy without allowing edits, and provides greater confidence when managing or updating review content.
Template Preview in Manage Reviews
Admins can now preview individual review templates directly from Manage Reviews > Templates. A new Preview button has been added next to each template in the list view, allowing admins to see exactly how a template will appear to end-users during a review.
